    Overview

    The Specialty Leader (SL)’s goal is to ensure the Specialty Department’s financial success within any assigned practice and/or market by providing superior patient care and service, effectively managing all responsibilities, while meeting or exceeding company identified financial budgets and performance metrics. The Specialty Leader is to develop and maintain strong relationships among the general dentistry teams while also acting as a leader for the area of specialty within the practice, specifically acting as a liaison to the specialty provider(s).

    Responsibilities

    • Provide outstanding customer service for the patient; making the patient the #1 priority
    • Meet or exceed company determined budgets for specialty within each assigned practice and market
    • Implementing organized and pre-approved standardized process across all practices as determined by Specialty Team Process and Procedures
    • Lead by example; exercise good team work; have mutual respect for team; partner with team to create an exceptional experience for patient
    • Effectively resolve patient complaints in a timely manner
    • Partner with Office Leader to ensure all scheduled patients receive confirmation call
    • Coordinate daily patient schedule by providing accurate appointment templates
    • Ensure ortho staff sends appropriate letters/cards to no‐shows, cancellations and late arrivals
    • Fully understand and use doctor’s treatment plan to ensure properly scheduled follow-up appointments
    • Coordinate patient recall process for follow‐up appointments
    • Effectively hire and retain quality staff members
    • Ensure all staff members are properly trained to perform the functions of their jobs and provide retraining when appropriate
    • Regularly assess staff job performance through feedback, recognition and appropriate performance appraisals; support professional development
    • Ensure that payments are collected from patients at time of service
    • Follow company policy and procedures regarding charge-out process, collections, 3rd party financing options, etc.
    • Be knowledgeable of and effectively manage the managed care component (scheduling, fee schedules and collections, etc.)
    • Effectively work with providers and practice staff to achieve referrals
    • Coordinate and support patient flow with maximized, scheduled ortho staff by monitoring schedules each day
    • Monitor and control specialty expenses within assigned budget
    • Actively coordinate and support marketing directives to increase specialty revenue
    • Partner with each practice’s Office Leader and support staff
    • Ensure ortho/specialty schedule is created and distributed to necessary practices at least three months in advance
    • Educate Office Leaders and Patient Relations Coordinators on specialty managed care, scheduling and codes
    • Conduct daily and monthly informational huddles with staff members
    • Effectively and continuously communicate with doctors, Office Leaders and support staff regarding specialty goals, company information and personnel management issues
    • Partner with Operations Leader/Director, Market Operations/Specialty Team to prevent and/or resolve issues
    • Conduct periodic meetings with vendors to ensure staff is educated on products, instruments and services provided to patients (ex invisalign, GAC, etc)
    • Review, communicate and provide education of P & L monthly to specialist and provide summation of success and opportunity with action plan to staff and Director, Market Operations
    • Act as liaison for Specialty Provider within practice to facilitate communications and needs of him/her or the business in general
    • Partner with Operations Leader to ensure that all applicable equipment is maintained and appropriate levels of supplies are available
    • Make sure Specialty comlogs are completed daily
    • Timely management of all incoming mail for specialty

    Qualifications

    Education/Certification:

    • Bachelor’s or Associate’s Degree preferred; high school diploma or equivalent required
    • 3+ years management level experience
    • 5+ years work experience (customer service and dental preferred)
    • 3+ years proven consultative sales experience or treatment planning/conversions

    Work environment/Conditions:

     

    • Travel as needed for training, meetings and to perform job functions; ability to travel between multiple practices within a market/region on a daily basis
    • Safety procedures and personal protective equipment required including protection to minimize the risks from radiographs and blood borne pathogens
